Operations & Loans

The Operations section facilitates the physical tracking and care of objects, including movements, insurance, conservation, and outgoing/incoming loans.

Track objects as they move between your museum and other institutions.

  • Outgoing Loans: Objects lent to other museums for exhibitions.
  • Incoming Loans: Objects borrowed for your own displays.
  • Tracking: Record insurance values, return dates, and contact agreements.

Document the physical condition and restoration work performed on items.

  • Condition Reports: Standardised assessments of an item’s health.
  • Triage: Mark items that require urgent attention.
  • Work Logs: Record individual conservation treatments and materials used.

Always know exactly where an object is located.

  • Permanent Locations: The default storage or gallery spot.
  • Temporary Movements: Recorded for photography, conservation, or transport.
  • Location History: A full audit log of every place the item has been.
  • View Operations (movements_read, conservation_read, loans_read): Allows viewing of operational records.
  • Track Movements (movements_manage): Required to move objects between locations.
  • Manage Conservation (conservation_update): Required to create condition reports and work logs.
  • Finance & Insurance (museum_update): Required to view or edit insurance and valuation data.

The Exhibitions module ties together items, loans, and locations for public display.

  1. Navigate to Operations > Exhibitions.
  2. Click New Exhibition.
  3. Define the Title, Start/End Dates, and Venues.
  4. Curate the Object List by linking Items and Incoming Loans.
  5. As the exhibition progresses, update the status from Planning to Active, and eventually Closed.

Every significant action performed across the Modules (Creation, Updating, Deletion) is securely logged by the backend audit trails.

  • Administrators can view a complete history of changes under Administration > Activity Logs.
  • This ensures full accountability and traceability of collection management actions over time.
